Field Trip Application – Release Notes for 10/24/2025

Please be advised the following updates are now live in the system

File Uploads

• Users can now upload multiple documents of the same type, improving flexibility and documentation completeness.

General Improvements

• Pre-Approval Attestation: Attestation language has been added for the requestor pertaining to pre-approval liability.
• 24-Hour Time Format: Instructional text has been updated for better clarity.
• History Dashboard: Missing icons have been corrected.
• Email Notifications: Update to email notification destinations.

Adult Schools

• Queries will now be displayed by local district instead of physical district, aligning better with organizational structure for adult schools.

Field Trip Application – Release Notes for 10/17/2025

Please be advised the following updates are now live in the system

Transportation

• Removed the ability to select both LAUSD Bus and Pre-Ordered Bus. It’s one or the other now.
• When Pre-ordered LAUSD Bus is selected, the following are all now required fields: A-Number, Contact Name, Contact Email, Contact Phone

Athletics

• Updated dropdown for Athletic Type options: Tournament, League and Non-League

CTE

• Part A - New role created for CTE Users to run reports (Role will be manually managed).
• Part B - Pending - This week, we will work on identifying which users will need this and establish the access.

Nursing

• Health Alerts labels have been updated to the following: No Information Available, Follow up required.

General

• Corrected and additional email formatting issue.
• Staff Supporting Students cannot modify or delete an existing list.
• Chaperones cannot modify or delete an existing list.
• Students are now added as First Name, Last Name.
• Corrected an error when deactivating users with duplicate accounts.
• Trips will not move to History tab until the return date of a trip.
• Volunteer has been added to the Chaperone dropdown.

Field Trip Application – Release Notes for 10/03/2025

Please be advised the following updates are now live in the system

CRITICAL FUNCTIONALITY

• 7-day calendar restriction logic has been disabled. Users will now be able to make edits to their trip without the system locking the trip 7 days prior to the departure date.

Transportation

• Bus “A” numbers will now be shown on the Summary page.

Athletics

• Made it easier to identify Tournament, League, and Non-League trip types.

Cultural Arts Passport (CAP)

• Added Royal Oak MS and Calabasas HS.

General

• Edits can be made after Principal has approved.
• Added clarity to quick filters for Review Work vs. All Submissions.
• Additional text added for clarity to Student Module.
• Corrected text within the textboxes for Grade, Parent Name, and Parent Contact.
• Corrected an email formatting issue to ensure notifications are not missed.
• Total number of chaperones added to the trip summary.
• Overall styling updates to the home page.

Field Trip Application – Release Notes for 09/16/2025

Please be advised the following updates are now live in the system

Dispatch

• Updated logic around Departure & Return times when LAUSD Bus is selected as the method of transportation – impacts when the approval trigger(s) will go to Dispatch.

Cultural Arts Passport (CAP)

• Updated Approved Sites. Dropdown now contains all sites approved by CAP as of 09/15/25.
• Updated the verbiage on the error code that displays when a site is not on the pre-approved CAP site list.

General

• Removed certain validation logic pertaining to manual roster uploads. Manual entries may now be searched with a name or 7-digit ID. This will primarily assist Adult Schools with field trip rosters.
• Style updates to landing page to remove excessive negative space.

Field Trip Application – Release Notes for 09/09/2025

Please be advised the following updates are now live in the system

Modifications (Requestors View)

• Requestors will now see changes in real time while modifications are requested for approval. This was implemented on Student and Chaperone screens.
• Requestors will no longer have to add or delete students multiple times while waiting for modification approval.

Emails

• OEHS will now only receive emails for trips with specialized activities.
• Email recipients – updated logic to account for capitalized letters and spaces in SSO.

Principals

• Dashboard will show all cost centers associated per campus.
• Trips submitted by principals will be auto-approved.

General

• Nursing and Region Director’s Office will be able to view trips once submitted, even if Principal has not approved yet.
• Updated tick mark for chaperone selection.
• Updated cloned trips that had multiple chaperones not allowing navigation to continue.
• Updated logic so that users only have to approve once and the system records the selection correctly.
• Updated Chaperone list with an additional dropdown option as Contractor.
• Updated search functionality so users can search by first or last name in any order.
• Added a clear label on time slots indicating Military Time/24 Format is used.
• Fixed access issues for Option Schools.
